A business phone system should fit the way people work, the numbers customers already know and the level of resilience the organisation needs. Start with requirements rather than a handset model or a headline price.
Count users, locations and simultaneous calls
Record who needs a service, where they work and how many calls happen at busy times. Include reception, hunt groups, shared numbers, remote staff and seasonal users. Decide whether each person needs a mobile app, desktop app, desk phone or a combination.
Protect existing numbers
List the main number, direct dial numbers and any ranges before placing an order. Broadgate Voice provides free number porting. Keep the old service active until the port is accepted and verify that account names and installation addresses match the losing provider’s records.
Check broadband and business continuity
VoIP uses the internet connection, so test capacity, router and network configuration, Wi-Fi coverage and mobile signal. Consider what staff should do during a broadband or power outage. Critical sites may need a secondary connection, mobile fallback or suitable power protection.
Compare the right service type
A cloud phone system can suit organisations that want managed calling across desk, desktop and mobile devices. SIP trunks may connect a compatible on-site system to an IP service. Microsoft Teams calling can suit businesses that already use Teams for collaboration and meetings.
Understand prices and terms
Broadgate Voice GoYap packages cost £9.99 ex VAT per user per month for Mobile, £14.99 ex VAT for Desktop and £19.99 ex VAT for Combined Mobile + Desktop. The minimum term is 60 months. Setup depends on whether an engineering visit is needed, so ask for a written proposal covering recurring and one-off costs.
Test before completion
Test inbound and outbound calls, caller ID, voicemail, transfers, hunt groups, emergency-call information and failover. Train staff before the old service ends. The typical Broadgate switch-over is 24–48 hours once the necessary information and arrangements are ready.
